The invoice verification process

Verifying an invoice has two halves. The first can be automated; the second needs your records.

Part 1: Verify the document

This is what InvoiceInspect does when you upload a PDF.

Check What is compared
Line totals Quantity multiplied by unit price against each line amount
Subtotal The sum of the lines against the printed subtotal
Tax or VAT The printed rate applied to the taxable amount against the printed tax
Grand total Subtotal, tax, discounts and shipping against the amount due
Basics Invoice number, dates and supplier name are present
Repeated lines A line identical to an earlier one is flagged as a warning

If a value cannot be read reliably, it is reported as could not verify instead of being guessed.

Part 2: Verify the invoice against your records

No tool can do this from the PDF alone. Work through this checklist:

  1. Do you know the supplier? Find them in your supplier list.
  2. Is there an order behind it? Match a purchase order, signed quote or contract.
  3. Was it delivered? Check the delivery note or confirm the work was done.
  4. Do the details match? Compare name, address, tax ID and invoice numbering with earlier invoices.
  5. Have the bank details changed? If so, confirm by phoning a number you already hold, never one printed on the invoice or in the email.
  6. Is it a duplicate? Search for the same invoice number or amount from this supplier.

How to verify an invoice online in three steps

  1. Upload the PDF. Digital and scanned invoices both work; scanned pages are read with OCR.
  2. Read each result. Every check is marked passed, warning, error or could not verify, with the expected and actual figures side by side.
  3. Finish the checklist above for anything the document cannot tell you.

Verification and fraud

A fraudulent invoice can have perfect arithmetic, so a passed calculation check is not proof of authenticity. Read how to identify a fake invoice and our fake invoice guide for the warning signs.
